Summarize forwarded documents

Output

The forwarded Fall buying plan overstates product costs by $100 and requests approval before supplier timing is confirmed. Reviewed Harbor & Pine’s forwarded materials.

The readable pages propose buying 60 Alder Wool Throws and 40 Cascade Merino Crews for fall replenishment. They request Maya's approval and claim delivery within 21 days. The main decision is whether to approve the quantities before confirming availability and arrival timing.

At the stated unit costs, throws total $3,180 at $53 each and crews total $1,640 at $41 each. The combined cost is $4,820, compared with $4,920 in the document. This calculation assumes unit costs remain valid and excludes freight and tax.

Questions to ask:

  • Which colors and sizes make up the proposed quantities?
  • What sales forecast supports buying 100 units?
  • Has the supplier confirmed availability and the 21-day lead time?
  • Does the requested budget include freight and tax?

The readable pages omit the variant breakdown, sales forecast, shipping charges, and supplier confirmation. No other arithmetic errors were found there. The scanned appendix was unreadable, so it may contain missing details. Approval remains unresolved until those details are checked.

Automation steps. The agent follows these 4 steps each time it runs, using your connected email and calendar.

  1.   1

Read the document or materials I forwarded.

  2.   2

Write a short memo covering the contents, claims or requests, and main points.

  3.   3

Suggest three or four questions to ask and identify errors, missing information, or claims that need checking.

  4.   4

Tell me if you could not read any part.

Adjust the automation in Chat

Tell the agent what to do differently and ask it to set up that version with the same trigger.

  • Keep each memo under 150 words.
  • Focus on costs and unsupported claims.
  • Set the attachment filter to accept forwarded messages without attachments.

Fieldwork emails the report. Each email links to the full run as a conversation in Fieldwork. The automation asks the agent to keep a log in your knowledge base and read it before each run to check what has changed.

What starts this automation

Runs when you forward an email to Fieldwork. Set up forwarding in the app and use the address shown in Settings. You can adjust the sender, subject, and attachment filters at setup.

Only useful reports

When nothing needs attention, the run skips the email. When there are findings, you get a report with a link to the full conversation.

No messages sent

An automated run has no tool that sends, posts, or replies. The agent can update notes and its log in your Fieldwork knowledge base.

This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect.

Questions about this automation.

How do I set this up?
Connect your email and calendar, activate the automation, and use the forwarding address in Settings, Email, under Automations. An attachment is required by default, with an editable filter.
Does it send messages or save drafts?
It reads the forwarded materials and writes a report. It does not send messages or save mailbox drafts.
Can I change what the memo covers?
Ask in chat to change the length, focus, or questions. You can also run it in chat with a supplied message.
Where will I receive the report?
An automatic run emails the report with a link to the full conversation. If nothing needs attention, email and push are suppressed, while missing-data or tool errors are reported.
