Summarize a spreadsheet
Output
Harbor & Pine’s sales rose 20% last week, but refunds doubled and missing shipping costs leave profit uncertain. Reviewed the forwarded weekly sales spreadsheet.
For September 7–13 compared with August 31–September 6:
| Figure | Latest week | Previous week | Change |
|---|---|---|---|
| Orders | 300 | 250 | +50 |
| Sales before refunds | $24,000 | $20,000 | +$4,000 |
| Refunds | $1,200 | $600 | +$600 |
| Sales after refunds | $22,800 | $19,400 | +$3,400 |
Average order value stayed at $80, so more orders explain the sales increase. Refunds equaled 5% of sales, up from 3%. The sheet does not identify refund reasons, so it cannot explain that increase.
Shipping costs are blank for 18 of 300 orders, or 6%. Lena should check those entries before Theo uses the sheet to assess profit. No duplicate order IDs or missing sales amounts were found.
Assumptions: all amounts are USD, both weeks are complete, and refunds are recorded in the week processed. Sales after refunds exclude other costs and are not profit.
Automation steps. The agent follows these 4 steps each time it runs, using your connected files.
- 1
Read the spreadsheet I forwarded, or ask me which one to use.
- 2
Write a short summary of the key figures, changes, and items that need attention.
- 3
Use plain language and include enough context for someone who has not read the spreadsheet.
- 4
Make it ready to paste into an email.
Adjust the automation in Chat
Tell the agent what to do differently and ask it to set up that version with the same trigger.
- Compare each product category with the previous week.
- Keep the summary under 150 words.
- Flag missing costs and explain unfamiliar column names.
Fieldwork emails the report. Each email links to the full run as a conversation in Fieldwork. The automation asks the agent to keep a log in your knowledge base and read it before each run to check what has changed.
What starts this automation
Runs when you forward an email to Fieldwork. Set up forwarding in the app and use the address shown in Settings. You can adjust the sender, subject, and attachment filters at setup.
Only useful reports
When nothing needs attention, the run skips the email. When there are findings, you get a report with a link to the full conversation.
Read-only access
The agent reads your files without changing the source. It can keep notes and a run log in your Fieldwork knowledge base.
This automation reads your files. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect.
Questions about this automation.
- How do I set it up?
- Connect Google Workspace or Microsoft 365 for files, activate the automation, and forward your spreadsheet to the address in Settings, Email, under Automations. The attachment filter is editable at setup, and you can also supply the spreadsheet in chat.
- Does it change the spreadsheet or create an email draft?
- It produces a summary without changing the spreadsheet or sending a message. The text is ready to paste into an email, but no mailbox draft is saved.
- Can I change what the summary includes?
- Ask in chat for specific comparisons, figures, or a different length. If you have not supplied a spreadsheet, it asks which one to use.
- Where will I receive the summary?
- A forwarded-email run emails you the report with a link to the full conversation. A run started in chat returns its summary there.
